PrintForce CRM ("the app") is an internal tool operated by Blackout Screenprinting, Denver, Colorado ("we"). This policy explains what information the app handles and how.
Who uses the app
Only Blackout Screenprinting staff, signed in with a Google account the shop has authorized.
Information we handle
- Staff accounts: name, email address and role, used to sign staff in and record who changed what.
- Customer business records: company and contact names, email addresses, phone numbers, billing and shipping addresses, quotes, orders, proofs, shipments and payment status, entered by staff to run the shop.
- Activity history: an audit log of changes made in the app.
Google user data
- Google sign-in gives the app a staff member's name and email address, used only to sign them in.
- Gmail (send only): the shop's own account sends proof emails, proof reminders and other shop emails to customers. The app doesn't read, store or delete messages in the mailbox.
- Google Drive: the shop's own print floor account creates, copies, organizes and removes job files (folders, art templates, purchase order sheets, printing notes and proof PDFs) in the shop's Drive.
The app's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the features above. It isn't sold, isn't used for advertising, isn't shared with third parties except as needed to run the app (our hosting provider), and isn't read by people except for security, to comply with law, or with the account owner's consent.
Storage and security
Data is stored in a private database hosted by Railway, with nightly backups kept for 30 days in private Railway storage. Connections use HTTPS, and Google access tokens are encrypted at rest. Access is limited by role: print floor staff can't see pricing or payment information.
Sharing
We don't sell or rent personal information. Customer records are used only to quote, produce and deliver orders.
Retention and deletion
Records are kept while needed for the shop's business and accounting. To ask about or remove information we hold, or to remove a Google account's access, email [email protected]. Account owners can also revoke the app's access at any time from their Google account's security settings.
Changes
We'll update this page if the app's handling of information changes, and change the date above.
